About this tool

This hours calculator is a weekly time card. Enter the time you clocked in, the time you clocked out, and any unpaid break for Monday through Sunday and it returns each day's hours in h:mm and decimal form, the weekly total, and the split between regular and overtime hours using a weekly threshold (40 by default) and an optional daily threshold (8). Add an hourly rate to see gross pay with overtime at time-and-a-half or any multiplier. Overnight shifts, payroll rounding to 6 or 15 minutes, and a shareable link are supported. It is meant for hourly employees checking a paycheck, freelancers billing by the hour, and managers reviewing timesheets.

How it works

Each day's clock-in and clock-out are converted to minutes since midnight; if the clock-out is earlier than the clock-in the shift is treated as crossing midnight and 24 hours are added. The unpaid break is subtracted and the result is optionally rounded to the nearest 6 or 15 minutes. With a daily threshold on, minutes above it each day are overtime and the remainder is regular. Regular minutes are then capped at the weekly threshold and anything above that also becomes overtime, so the same hour is never counted twice. Decimal hours are minutes divided by 60, and gross pay is regular hours times the rate plus overtime hours times the rate times the multiplier.

Frequently asked questions

How do I enter an overnight shift?

Enter the times as they read on the clock, for example in at 22:00 and out at 06:00. Because the clock-out is earlier than the clock-in, the calculator assumes the shift ended the next day and counts 8 hours. Record the shift on the day it started.

How is overtime calculated?

By default any hours above 40 in the week are overtime, which is the US federal Fair Labor Standards Act rule for non-exempt employees. Turn on the daily threshold to also treat hours above 8 in a single day as overtime, as California and a few other states require. Hours flagged as daily overtime are removed from the weekly count so they are not double counted. Salaried exempt employees, some union contracts, and other countries use different rules.

Should breaks be subtracted?

Subtract unpaid meal breaks, which are typically 30 or 60 minutes and are not counted as hours worked. Short paid rest breaks of 5 to 20 minutes are normally counted as work time under US federal rules and should not be entered. Your employer's policy or your contract decides which applies.

Why does my employer's decimal total differ slightly from mine?

Payroll systems often round each punch or each day to the nearest tenth of an hour (6 minutes) or quarter hour (15 minutes). Pick the same rounding rule in the options to reproduce their total. A 7-hour-20-minute day is 7.333 hours unrounded, 7.3 with tenth-hour rounding, and 7.25 with quarter-hour rounding.
